Position Overview: 
The Administrative Assistant will support the CEO, internal team and the entire office. The Administrative Assistant must be able to multitask, prioritize and be highly-organized. They will be heavily involved in all facets of the company, managing all internal daily functions, including administrative needs as well as development of the brand and internal growth. This role will require you to think critically, be flexible, have strong attention to detail and a positive attitude. In addition, this Administrative Assistant must be proactive, foresee conflicts or needs and resolve any sensitive issues with integrity and poise.  

Responsibilities of the Administrative Assistant:

  • Manage all internal daily functions
  • Coordinate and schedule all meetings internally, for leadership and will be responsible for meeting minutes
  • Be point person for all conferences – this person must be able to handle heavy logistics
  • Oversee the office cleaning crew, vendors, and overall cleanliness and presentation
  • Plan company events
  • Order supplies and company swag
  • Point of contact for the CEO
  • Respond to all e-mails with employees, investors, clients and all external contacts on behalf of the CEO
  • Coordinate internal and external meetings, including the arrangement of in-office and out of office catering
  • Prepare, reconcile, and submit all expense and time reports
  • Track invoices and monitor brand inventory
  • Manage various personal requests and ad-hoc tasks
  • Proofread presentations and legal documents, research new projects

Qualifications for the Administrative Assistant:

  • 2+ years of experience supporting an executive preferred
  • Consistency and longevity with prior employers
  • Proven track record of meeting deadlines, showing initiative to take on and solve challenging projects
  • Exceptionally sophisticated writing skills
  • Proficiency in Microsoft Office including Word and Excel
  • Excellent networking and verbal communication skills

Education Requirements: 

  • Bachelor’s Degree from an accredited school required
